Planning The Meeting For Showing Of The Video.

If possible, gather a committee of three or four. Here are the tasks:

1. Plan at least two months in advance. Decide on a night during the week and check with various peace organizations in town as to what nights are not already taken for meetings and what sites are available for a showing on a large 20 to 27 inch TV.

2. Find out who has this size of TV. Some public buildings or libraries have such equipment available for rental.

3. Create a flyer (usually on yellow paper) for posting and for giving or sending to all the newspapers, monthly magazines and TV and radio stations. List the topic, relevant information. Time, date, place, co-sponsors, telephone contact, and that it is FREE. This is very important because you will get more publicity from papers and radio. Make enough flyers to send to all the major churches, service clubs, colleges, and high schools. They should be sent around about 2 to 3 weeks before the event.
Room Setup: We have shown this video from a VCR plugged into a TV which was placed on a chair which was on a table. Therefore everyone in the room could see the TV screen. The smallest screen we used was a 16 inch and this was easily seen by 80 people whose chairs were all on the same level. Be sure that you have at least a 25 foot extension cord with room for two plugs and a screwdriver in case you have to make the connections on the back of the TV. And be sure to check the VCR and the TV beforehand (preferably a day or so).

5. At the end of the evening plan for a free will contribution toward the rental fee and the work that is being done by your organization. You will need about 1/2 dozen small buckets for passing the “hat.”

6. You should have videos for sale at the event together with the major letter to the President from PSR which you can get people to sign.

7. Additional literature from PSR or your organization should be present.
